1. Introduction and Scope
This Privacy Policy explains how Ambiance Artist LLC ("Ambiance Artist," "we," "us," or "our") collects, uses, discloses, retains, and protects personal information in connection with ambianceartist.com, our checkout process, customer communications, and the services we provide.
This policy applies when you visit or interact with our website, request information, select services or add-ons, place or manage an order, make a payment, communicate with us, or receive our services. It covers personal information collected online and offline, including through website forms, checkout, email, text message, telephone, photographs, service visits, and direct interactions with our team.
For purposes of this policy, "personal information" means information that identifies, relates to, describes, or can reasonably be linked to you or your household. It does not include information that has been aggregated or de-identified so that it can no longer reasonably be linked to a particular person or household.
2. Personal Information We Collect
The information we collect depends on how you interact with Ambiance Artist and the services you request. We may collect the following categories of personal information:
- Contact information: Such as your name, email address, telephone number, billing address, and service address.
- Order and service information: Such as your selected package, add-ons, styling preferences, requested service areas, scheduling details, removal selections, order status, and order history.
- Property and access information: Such as property details, measurements, parking or delivery instructions, known hazards, restricted areas, gate codes, temporary entry codes, and other instructions needed to access and perform services at an authorized location.
- Communications and photographs: Such as information you provide through website forms, email, text message, telephone, photographs, feedback, service requests, or other communications with us. This may also include photographs or video of the work area, installation process, or completed design.
- Payment and transaction information: Such as billing details, payment status, amount paid, transaction identifiers, refunds, disputes, and limited payment-method information received from Stripe. Ambiance Artist does not store complete payment-card numbers or card security codes in its database.
- Website and technical information: Such as your Internet Protocol address, browser or device information, pages or features accessed, request timestamps, security events, and diagnostic information generated when you use our website.
We ask that you provide only the information reasonably necessary for your order or requested service. Please do not send Social Security numbers, government identification numbers, financial-account passwords, alarm-system master codes, or other information that we have not requested.
3. Sources of Personal Information
We may collect personal information from the following sources:
- Directly from you: When you visit our website, request information, complete a form, select services or add-ons, place or manage an order, submit photographs, provide property or access instructions, or communicate with us.
- From someone acting on your behalf: Such as a property owner, property manager, authorized representative, event coordinator, business contact, or person purchasing services for you as a gift.
- Automatically through our website: When you interact with ambianceartist.com, our website and supporting technology may generate technical, security, and usage information.
- From service providers: Such as Stripe, Cloudflare, and other providers that help us process payments, operate and secure our website, communicate with customers, or provide requested services.
- From public or lawfully available sources: When reasonably necessary to confirm an address, property location, route, access point, business identity, or other service-related information.
We use information obtained from these sources only for the purposes described in this Privacy Policy.
4. How We Use Personal Information
We may use personal information for the following purposes:
- Provide and manage our services: To respond to inquiries, prepare recommendations or estimates, process orders, schedule services, coordinate delivery, complete installations, provide service visits, and arrange removal or pickup.
- Customize your design: To plan services around your property, available space, preferences, access conditions, and safety requirements.
- Process payments: To confirm payments, calculate applicable charges, issue refunds, maintain transaction records, and address payment disputes or suspected fraud.
- Communicate with you: To provide order confirmations, receipts, scheduling information, arrival updates, access questions, service notices, care instructions, and other information connected with your order.
- Document and improve our work: To confirm property conditions, installation completion, quality, safety, and customer satisfaction, and to address service concerns.
- Operate and protect our business: To maintain, secure, troubleshoot, and improve our website, checkout process, services, and business operations.
- Comply with our obligations: To maintain required tax, accounting, insurance, and business records; comply with applicable law; respond to lawful requests; enforce our agreements; and establish or defend legal claims.
- Send optional marketing communications: When you have requested them or otherwise given us permission. You may opt out of promotional communications as explained below.
We may also use personal information for another purpose that we clearly explain when the information is collected or that you authorize.
5. Property and Access Information
Some services may require access to private homes, gated communities, businesses, venues, or restricted work areas. To arrange and complete an authorized service, we may request information such as gate codes, temporary entry codes, permitted access times, security-desk instructions, parking directions, or other entry procedures.
We use this information only to plan, deliver, install, service, document, remove, or pick up items connected with your order, or to address a related safety or service concern. Access information may be provided only to employees, contractors, delivery personnel, or service providers who reasonably need it to complete an authorized visit.
Whenever possible, we recommend providing a temporary access code that can be changed or disabled after the final visit. We retain access information only for as long as reasonably necessary to complete authorized visits and related service administration. When it is no longer needed, we remove it from active working records, although copies may remain temporarily in routine backups or message archives.
We do not sell access information, use it for advertising, or use it to enter a property for any purpose unrelated to an authorized service. If access information changes before a scheduled visit, you are responsible for providing updated instructions promptly.
6. Payments and Stripe
Online payments are processed through Stripe. Payment-card information entered during checkout is submitted directly to Stripe for payment processing. Ambiance Artist does not store complete payment-card numbers or card security codes in its database.
Stripe may provide us with limited information needed to manage the transaction, such as your billing name and address, payment status, amount paid, transaction identifier, payment method type, card brand, last four digits, expiration information, refunds, disputes, chargebacks, and fraud-related information.
We use this information to confirm payment, fulfill your order, issue refunds when applicable, maintain financial and transaction records, prevent fraud, and respond to payment questions or disputes.
Stripe processes payment and related information under its own agreements and privacy policy. We encourage you to review Stripe's privacy policy for more information about its data practices.
7. Photographs, Video, and Property Documentation
We may photograph or record the authorized work area when reasonably necessary to plan a design, document existing property conditions, confirm installation or service completion, review quality, address a customer concern, support safety, or maintain business records.
Operational photographs and recordings are used for service and documentation purposes and are not published or used for advertising unless you separately give us permission to do so.
With your optional permission, we may use authorized photographs or videos of the completed design on our website, social media, portfolio, advertisements, or other promotional materials. Marketing permission is not required to request information, place an order, or receive services. We will not intentionally publish a street address, visible house number, license plate, or identifiable person without separate permission.
You may withdraw marketing permission by contacting us in writing. The withdrawal will apply to new marketing materials created after we receive your request. It may not require us to recall, remove, destroy, or alter materials that were already published, printed, distributed, scheduled, or placed into production unless required by law.
8. Website Analytics, Cookies, and Browser Storage
When you use our website, we and the service providers that help us operate, secure, analyze, and improve it may automatically collect technical and usage information. This may include your Internet Protocol address, approximate location derived from your IP address, browser or device information, referring pages, pages or features viewed, request timestamps, clicks, scrolling activity, navigation patterns, security signals, and diagnostic information.
We may use Google Analytics to measure website traffic, understand how visitors use our website, and evaluate website performance. Google Analytics may use cookies or similar identifiers and may process information about your device, browser, approximate location, and activity on our website. Google processes this information according to its own privacy terms.
We may use Microsoft Clarity to better understand how visitors interact with our website and identify usability or technical issues. Clarity may collect interaction information through technologies such as cookies, heatmaps, and session recordings, including information about clicks, scrolling, cursor movements, navigation, and pages viewed. We configure Clarity to mask information entered into form fields and do not intend for Clarity to collect payment-card information, passwords, property access codes, or other sensitive information.
Our website and service providers, including Cloudflare, may also use cookies or similar technologies that are necessary for website security, bot detection, fraud prevention, traffic management, and proper operation. Stripe may use necessary cookies or similar technologies during checkout for payment security, authentication, and fraud prevention.
Our website may use temporary browser storage, such as sessionStorage or localStorage, to preserve package, add-on, installation-period, or checkout selections while you navigate the website.
We do not knowingly provide Google Analytics or Microsoft Clarity with customer names, email addresses, telephone numbers, service addresses, property access codes, complete payment-card information, or other information that directly identifies a customer. We do not use these analytics tools to follow visitors across unrelated websites for targeted advertising, and we do not currently use Meta Pixel or similar advertising trackers.
You may limit or block cookies through your browser settings. Blocking analytics cookies may reduce the information available to us about website use but should not prevent you from viewing the website or requesting services.
Some browsers offer "Do Not Track" or other privacy signals. Because we do not sell personal information or use it for cross-site behavioral advertising, changing a Do Not Track setting does not alter our current practices. We will recognize browser-based privacy signals when required by applicable law.
9. How We Disclose Personal Information
We may disclose personal information only when reasonably necessary for the purposes described in this Privacy Policy. Information may be disclosed to the following categories of recipients:
- Website and technology providers: Companies that help us operate, host, maintain, secure, or support our website and business systems.
- Payment providers: Stripe and other providers involved in payment processing, transaction management, and fraud prevention.
- Operational service providers: Companies that assist with customer communications, document storage, mapping, navigation, scheduling, delivery, or other business operations.
- Employees and contractors: People who need the information to plan, coordinate, or perform an authorized service. Property access information is limited to individuals who reasonably need it for the applicable visit.
- Professional advisers: Accountants, tax professionals, insurers, attorneys, and other advisers who assist with legitimate business, insurance, financial, or legal matters.
- Governmental or legal authorities: When disclosure is required or permitted by law, legal process, court order, or a valid governmental request.
We may also disclose information when reasonably necessary to protect the rights, property, safety, or security of Ambiance Artist, our customers, workers, service providers, or the public; investigate suspected fraud or wrongdoing; enforce our agreements; complete a business sale or transfer; or act at your direction or with your permission.
We seek to provide each recipient only the information reasonably necessary for its role. Service providers process personal information according to their agreements with us and may also maintain their own privacy notices.
10. No Sale of Personal Information or Targeted Advertising
Ambiance Artist does not sell personal information for money, rent customer lists, or provide customer addresses, contact information, property details, access information, photographs, or order information to unaffiliated third parties for their own marketing purposes.
We do not share personal information for cross-context behavioral advertising or use personal information to target advertisements based on activity across unrelated websites or services.
If these practices change in the future, we will update this Privacy Policy and provide any notice, consent, or privacy choices required by applicable law before using personal information in that manner.
11. Service Communications and Marketing
We may use the contact information provided with an inquiry or order to send communications reasonably connected with the requested service. These may include responses to questions, recommendations, order confirmations, receipts, scheduling details, access questions, arrival or route updates, care instructions, service changes, removal coordination, safety notices, and cancellation information.
Service-related communications are necessary to manage the customer relationship and fulfill an order. You may continue to receive these messages even if you opt out of promotional communications.
We may send promotional emails or text messages when you subscribe, request updates, or otherwise give us permission. You may opt out of promotional emails by using the unsubscribe method included in the message or by contacting us. You may opt out of promotional text messages by replying STOP or by clearly communicating through another reasonable method that you no longer wish to receive promotional messages.
We do not share email or text-message subscription information or consent records with unaffiliated third parties for their own marketing purposes. Withdrawing marketing consent does not prevent us from sending service-related or legally required communications.
12. Data Retention
We retain personal information only for as long as reasonably necessary to provide our services, manage our relationship with you, maintain appropriate business records, and satisfy legal, tax, accounting, insurance, payment, security, and dispute-resolution obligations.
Retention periods depend on the type of information and why it is maintained:
- Order and transaction records may be retained as necessary for accounting, taxes, refunds, chargebacks, insurance, disputes, fraud prevention, and legal compliance.
- Property access information, including gate codes and entry instructions, is retained only while reasonably necessary for authorized visits and related service administration. It is then removed from active working records.
- Customer communications may be retained while an inquiry or order is active and afterward when reasonably necessary to document the service, address concerns, maintain business records, or enforce our agreements.
- Operational photographs and recordings may be retained for completion, quality, safety, insurance, dispute, and business-record purposes. Photographs or videos authorized for marketing may be retained and used as described in Section 7.
- Website and security information is generally retained for shorter periods unless it is needed to investigate an incident, prevent fraud, maintain system integrity, or comply with law.
Information connected with an abandoned or incomplete checkout may be retained temporarily to operate the checkout, prevent fraud, troubleshoot errors, or assist you. It will be deleted or de-identified when it is no longer reasonably needed.
When information is no longer required, we may delete it, de-identify it, or allow it to expire through our ordinary retention processes. Limited copies may remain temporarily in routine backups or message archives until they are overwritten or deleted.
13. Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, use, alteration, disclosure, loss, or destruction. These safeguards may include limiting access based on business need, protecting accounts and systems, using established website and payment providers, and reducing the amount of sensitive information we retain.
Employees, contractors, and service providers who receive personal information are expected to use it only for authorized purposes and to protect it appropriately. Access to property addresses, photographs, customer communications, and gate or entry codes is limited to those who reasonably need the information to perform their work.
No method of Internet transmission, electronic storage, or security protection is completely secure. We therefore cannot guarantee absolute security. Customers should avoid sending unnecessary confidential information through ordinary email or text message and should provide temporary property access codes whenever possible.
If we discover a security incident involving personal information, we will investigate and take appropriate action, including providing any notification required by applicable law.
14. Your Privacy Rights and Choices
You may contact us at any time to:
- Update or correct your contact, property, or service information.
- Opt out of promotional emails or text messages.
- Withdraw optional permission for future marketing use of photographs or videos.
- Ask a question about how we handle your personal information.
Opting out of marketing does not prevent us from sending communications necessary to manage an inquiry, order, payment, service visit, removal, or other customer relationship.
Rights Under Applicable Privacy Laws
Depending on where you live, applicable law may give you the right to request:
- Access to personal information we maintain about you.
- Correction of inaccurate personal information.
- Deletion of certain personal information.
- A portable copy of certain information you provided to us.
- Information about how we collect, use, or disclose personal information.

To submit a privacy request, contact us using the method provided in Section 18 and identify it as a privacy request. We may request information reasonably necessary to verify your identity or confirm that you are authorized to act for another person.
Privacy rights are subject to legal exceptions. We may retain information when reasonably necessary to complete an order, process payments, maintain tax or accounting records, prevent fraud, protect security, address disputes, enforce agreements, or comply with law. If we deny a request, we will provide an explanation and appeal instructions when required.
We will not unlawfully discriminate against you for exercising an applicable privacy right. Because Ambiance Artist does not sell personal information or use it for targeted advertising, we do not currently offer a separate sale or targeted-advertising opt-out process.
15. Children's Privacy
Ambiance Artist's website and services are intended for adult customers. You must be at least 18 years old to place an order or enter into an agreement with us. Individuals under 18 should not place an order or submit personal information without the involvement of a parent or legal guardian.
Our website is not directed to children under 13, and we do not knowingly collect personal information online directly from children under 13 without legally sufficient parental authorization.
Information about a child may appear incidentally in photographs, property information, or communications provided by an adult customer. We use that information only as reasonably necessary to provide the requested service. We do not intentionally publish an identifiable image of a child for marketing without appropriate permission.
If we learn that a child under 13 submitted personal information directly to us without legally sufficient parental authorization, we will take reasonable steps to delete it. A parent or legal guardian who believes that a child has provided personal information to us may contact us using the method provided in Section 18.
16. Third-Party Websites and Services
Our website may contain links to, embed features from, or interact with websites and services operated by third parties. These may include Stripe, social media platforms, mapping or navigation services, and other providers that support our website, checkout process, communications, or services.
When you provide information directly to a third party or interact with a third-party website, checkout page, application, plug-in, or embedded feature, that provider may collect and process information under its own privacy policy and terms. Its independent data practices are not governed by this Privacy Policy.
When Ambiance Artist provides personal information to a service provider on your behalf or for our business operations, that disclosure is governed by the applicable portions of this Privacy Policy, including Section 9.
We do not control the independent privacy or security practices of third-party websites and services. We encourage you to review the applicable privacy policy before providing information directly to a third party. The presence of a link or third-party feature on our website does not mean that the third party's practices are operated or controlled by Ambiance Artist.
17. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our services, technology, information practices, service providers, or legal obligations.
When we make changes, we will post the revised Privacy Policy on ambianceartist.com and update the "Last Updated" date at the top of the policy. The revised policy will become effective when posted unless a different effective date is stated.
If a change materially affects how we use or disclose personal information already collected, we will provide any additional notice or obtain any consent required by applicable law.
